The company operates a bakery, catering, cafe, wholesale, and food service to the CNMI Public School System's food service program. The Food Service Administrative Assistant position will be based within the company's Food Service Division. This position involves assisting the company's Food Service Manager with the planning and execution of various projects aimed at improving efficiency, service delivery, and student satisfaction. The administrative assistant works closely with food service teams, school administrators, and other stakeholders to implement new programs, ensure compliance with regulations, and enhance overall operations. Their contributions help streamline processes, support nutritional goals, and contribute to the success of food service initiatives that benefit the school community.
Duties include:
Assist the Food Service Manager (FSM) with the following:
· Daily administrative tasks including filing, data entry, and managing correspondence;
· Maintain accurate records and update customer databases as needed which include changes to menus, food preparation (i.e. allergies, etc.);
· Prepare and process purchase orders, invoices, and other financial documents;
· Prepare weekly staff schedules;
· Schedule meetings, events, and training sessions for food service team as requested by the FSM;
· Liaise with vendors and suppliers to ensure timely delivery of goods and services;
· Handle customer inquiries and resolve issues related to food service promptly and professionally;
· Handle feedback and complaints to enhance customer satisfaction;
· Preparation of reports and documentation related to food service operations;
· Monitor inventory levels and help manage stock orders and deliveries;
· Assist with the implementation of food safety and hygiene practices, in compliance with regulations;
· Perform other related duties as assigned by the Food Service Manager; and
· Position involves periodic travel to different school cafeterias on the island of Saipan.
